Vicunha Têxtil Case: Reducing the number of items in the registry from 92,000 to 40,000 boosts productivity and prepares the ground for e-Procurement
Vicunha Têxtil, the largest textile manufacturer in Latin America and one of the largest in the world, made a leap in efficiency with a project to standardize and streamline its material registration. With the support of CH Master Data | Astrein's services and technology, the company drastically reduced the number of registered items—from 92,000 to just over 40,000—and achieved significant gains in organization and productivity in its purchasing department.
With eight production units spread across the Southeast and Northeast regions, Vicunha faced serious challenges in registering materials. After the merger of five companies in the group in October 2002, which created "Vicunha Têxtil S/A," several multiplicities began to emerge, with the same item registered in different ways, either by different names or various abbreviations.
"Often, the description of the same product registered at São Paulo State units differed from that at Northeast units. This created problems with purchasing batches, as purchases of the same item were split, and the Purchasing Department lost leverage in negotiations with suppliers. We often purchased materials when the same material, under a different name, was available at another unit," explains Sérgio Beneti, Warehouse Coordinator at Vicunha.
These inconsistencies compromised purchasing history, hindered inventory control, and led to duplicate purchases of materials. The urgency to prepare the company for the implementation of e-Procurement systems led to the approval of a robust standardization and registry cleanup process.
Vicunha created an internal team dedicated to standardizing the names and descriptions of all inputs used in its units. To support this mission, it hired CH Master Data | Astrein, responsible for consulting and the Shared Services Registration Center technology solution—specializing in description standardization, unification, and registry cleanup.
Based on CH Master Data | Astrein's over 20 years of software development expertise, the adopted solution introduced Material Description Standards (MDS) widely used in the market. Furthermore, support and training were provided to Vicunha's internal team, which implemented the standardization process over the course of a year, according to a schedule for each product family.
"The SSA Registration Center provided a series of PDMs that are already used by the market in general, and we made the necessary additions with specific inputs from the textile industry," highlights Beneti.
The results were expressive:
Reduction from 92 thousand to approximately 40 thousand items in the registry;
Elimination of 4,267 duplicate items;
Optimization of the purchasing process;
Preparation of registration for e-Procurement;
Improved inventory management, now more aligned with the company's real needs.
