Klabin Case: Intelligent Registration Center focused on user experience

Klabin has over 120 years of history and a broad range of sustainable solutions in pulp, packaging paper, and paper packaging. The company sought to improve the user experience with registrations, facilitate searches among the more than 800,000 items registered in SAP, streamline the creation of new codes, increase visibility of the steps, and improve service to the departments involved in the process.

The Project

The initiative originated with Project Consultant William Alves da Silva, responsible for seeking improvements and innovation in the company's Supply Chain. With the support of professionals such as Filipe Figueiredo (Supply Chain Projects), Cintia Onishi (IT), and the Material Registration, Inventory Management, Warehouse, Controllership, Maintenance, and Purchasing teams—as well as support from senior management—Klabin initiated a structured process to evaluate solutions.

During 2020, the company evaluated both existing platforms on the market and the possibility of developing an internal registration system. After analysis, requirements gathering, and a critical look at the process itself, it was concluded that creating a platform from scratch would be costly, involve a long development time, and risk delays in the medium term.

Given this scenario, at the end of 2020, Klabin chose to contract the specialized platform from CH Master Data | Astrein, with implementation beginning in 2021.

  • Ease of use and navigation: A POC (Proof of Concept) was carried out with users, and the positive feedback on the tool's usability and intuitiveness was decisive.

Main Results and Benefits

  • Adapting features: In 2005, Klabin's Engineering and Production Team developed description standards (PD) with their specific requirements, which were implemented by IT (customization). This process validated the permanence of these contents, as there was a wealth of data that could not be lost. The flexibility of the registration solution offered by CH Master Data | Astrein in allowing for adapting features, loading data, and customized standards made all the difference.

  • Productivity gain: There was a significant increase in productivity, both in Advanced Search by the user and in the time it took the registration center to clean up and create records. For example, creating a record by copying it, which uses an existing code as a template and the requester only changes some information in the new item, was a significant gain.

  • Tool usability: Flexibility in configuring rules, flows, internal processes, conditionals, modifications, content, abbreviations, among others.

Project Expansion

With these positive results, Klabin began studying the expansion of functionalities in 2022, such as the implementation of conditional rules, monitoring dashboards, and the application of the governance model to other company master data.
